| Element | Notes |
|---|---|
| Business or personal name | The most prominent element |
| Logo | If you have one; keep it modest in size |
| Tagline | Optional: what you do, in a few words |
| Address | Street address or PO Box |
| Phone and email | The contact details you actually monitor |
| Website | Short form without https:// |
| Legal details where required | Some countries require company registration number, registered office and similar details on business letters — check local rules |
Keep the letterhead to the top 1–1.5 inches of the page (or a slim footer), so there is plenty of room for the letter itself.
Choosing a layout
- Classic centred — traditional and formal; suits law firms, accountants and personal letterhead.
- Left-aligned with rule — modern and easy to read; the most versatile choice.
- Colour band — bold and brand-forward; prints best on printers that handle solid colour well.
- Side column — distinctive and space-efficient for short letters; keeps details visible.
- Name top, details in footer — minimal header with contact details at the bottom, popular with designers and consultants.
Design tips
- Use one or two fonts at most, and one accent colour from your brand.
- Make sure text is readable: at least 9–10 pt for contact details.
- Leave generous white space; clutter looks less professional.
- Check the colour prints well in black and white too, since many letters are photocopied or scanned.
- Use a high-resolution logo (PNG with transparent background) so it prints sharply.
- Match your letterhead to your business cards, invoices and email signature.
Printing letterhead
For everyday letters, print the letterhead and letter together from the tool, or type into the downloaded Word file. For a stock of blank letterhead to feed through the printer later, print just the header on good paper — 90–120 gsm (24–32 lb) bond or laid paper feels more substantial than standard copy paper. Professional printers can produce letterhead with bleed (colour to the edge) if your layout uses full-width bands; home printers usually leave a small white margin.
Using letterhead in Word and Google Docs
The downloaded .doc file opens in Microsoft Word, LibreOffice and Google Docs (after uploading). For a letterhead that repeats automatically on every page, copy the header into the document’s header area; for a letterhead only on the first page, use the “Different first page” option. Save the result as a template so new letters start with the letterhead already in place.
Worked example
A small accounting practice enters its name, the tagline “Bookkeeping · Payroll · Tax”, address, phone, email and website, uploads its logo and chooses the left-aligned layout in its teal brand colour. The preview shows the logo and name on the left, contact details stacked on the right and a teal rule underneath. They download the Word file, move the header into the document header, and save it as their standard letter template.
Formatting the letter itself
- Date, written in full (e.g. 5 March 2026 or March 5, 2026).
- Recipient’s name, title, organisation and address.
- A subject line if helpful (Re: Invoice 1042).
- Salutation: “Dear Ms. Shah,” for formal letters.
- Body in short paragraphs with a blank line between them.
- Closing: “Kind regards,” or “Sincerely,”, then space for a signature and your typed name and title.
Business letters are usually left-aligned in block format, with 1-inch (2.5 cm) margins and a 10–12 pt body font. If the letter runs to a second page, many organisations use a simpler continuation header with just the name and page number.
Digital letterhead for PDFs and email
Many letters are now sent as PDF attachments rather than printed. Create the letter in Word or Google Docs with your letterhead in the header, then export to PDF — the fonts and layout stay exactly as designed. Keep the file size small by using a compressed logo image. For a consistent look, use the same colour and fonts in your email signature, but do not put the full letterhead image in every email; a simple text signature is more reliable across email apps.
Legal details on business letters
Some countries require limited companies to show specific information on business letters and order forms — for example the registered name, registration number, place of registration and registered office address in the UK, and similar requirements in many EU countries. Sole traders and US businesses generally have fewer requirements, but professional licensing bodies sometimes require licence numbers. Check the rules for your business type and location, and add the details in a small line at the bottom of the page.
Personal letterhead
Letterhead is not only for businesses. A simple personal letterhead with your name, address, phone and email gives cover letters, formal complaints, letters to schools and thank-you notes a polished look. The classic centred layout in a serif font works especially well for personal correspondence.
